Author Guidelines

(Revision 4, 3 July June 2008)

First of all, please see the Program of the 2009 TDWG Conference.

ABSTRACTS THAT DO NOT ADHERE TO THE FOLLOWING WILL BE AUTOMATICALLY REJECTED.

  • Deadline: Abstracts for presentations (verbal, poster, or demonstrations) must be submitted before 2359 GMT 1 September 2008.
  • An abstract is required for all presentations (verbal, poster or demonstration).
  • An abstract is required for each and every presentation or communication.
  • All presentations and communications must be in English.
  • Abstracts and presentations must be kept as simple as possible with no unexplained jargon. Presenters must assume that most of the audience will not have understanding of any technical issues. E.g., taxonomists must be able to understand computer science presentations and computer scientists must be able to understand taxonomic presentations.
  • All texts submitted will be peer reviewed for relevance and suitability.
  • Authors must suggest a peer reviewer by name and e-mail address, but there is no automatic guarantee that this reviewer will be used.
  • All verbal presentations must be from an invited contributor (and co-authors). If you requested to be invited, you assure that you have been invited (session chairs will be primary reviewers for presentations submitted to their sessions).
  • Format: Abstracts may be submitted in Microsoft Word (preferred), RTF, or plain ASCII/ANSI text.
  • The font should be Times 12pt.
  • The length of the abstract must not exceed a maximum of 3500 characters including spaces, title and authors.
  • Headers, Footers and footnotes, tables and diagrams are not permitted in abstracts.
  • Properly formatted, full URLs and mailto: are permitted but please be aware that embedded e-mail addresses will appear on the web site.
  • Submissions will be edited and formatted to a standard format for publication in the abstracts volume.
  • Verbal presentations must not exceed the time that your session chair has allotted, including adequate time for questions.
  • Presentations will be assumed to be in Microsoft PowerPoint unless we are advised otherwise. Please advise if you require Internet access during a verbal presentation.
  • It is a condition of acceptance that a digital copy of the presentation be submitted to the session Chair and/or TDWG website as instructed prior to the start of the session
  • Delegates may submit a poster and/or computer/Internet demonstration on any relevant subject for presentation at TDWG 2008.
  • Delegates may submit a short communication (other than formal presentations at TDWG 2008) on any relevant subject. This will be edited for inclusion in the printed in the abstracts volume. Such communications may be submitted until 2359 GMT 1 October 2009.

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The submission is in English and is less than 3,500 characters including all spaces but not including title, authors, affiliations or acknowledgements.
  2. The submission file is in Microsoft Word, RTF or plain ASCII document file format. The reviewer and Editor will use the MS Word 'Track Changes'.
  3. The text is single-spaced; uses a 12-point font. Where emphasis (e.g., scientific names) is needed, use italics, rather than underlining; URL addresses should be underlined.
  4. All acronyms must be spelled out in the abstract the first time they are used.
  5. URLs must be active and tested by the author.
  6. You have agreement from the Session Chair for the session that you are planning to present in. If you do not, you must submit an abstract for either a POSTER or a COMPUTER DEMONSTRATION.
  7. Abstracts and presentations must be kept as simple as possible with no unexplained jargon. Presenters must assume that most of the audience will not have understanding of any technical issues. E.g., taxonomists should be able to understand presentations from computer scientists and vice versa. All acronyms must be explained.
  8. A suggested reviewer (the Editor may use that suggestion, select another, or in rare cases, accept without a review).
  9. Authors who have English as a secondary language should, if needed, seek assistance with their abstracts before submission.
  10. POSTERS: A1 size by default PLEASE. If not, then NOTIFY EDITOR in submission.
  11. NOTE: THERE WILL BE COMMUNICATION FROM ONE OF OUR EDITORS IN THE PROCESS OF REVIEWING YOUR ABSTRACT. IF YOU ARE OFFLINE AFTER SUBMISSION FOR ANY LENGTH OF TIME, PLEASE GET SOMEONE TO MONITOR YOUR EMAILS AND ACT ON YOUR BEHALF. SUBMISSION OF AN ABSTRACT DOES NOT IMPLY AUTOMATIC ACCEPTANCE.
